Privacy Policy

Tampa Bay Rentals is the property management division of Gold Palm Homes, a licensed Florida real estate brokerage (DBPR License # CQ1074636). Our address is 4407 W Bay Ave, Tampa, FL 33616.

When you submit the Free Rental Analysis form or contact us, we collect what you type into it:

• Your name, email address, and phone number
• The property address you are asking about
• Property details you choose to share: type, approximate size, year built
• Whether you are self-managing, with another manager, or newly purchased
• How and when you prefer to be contacted
• Anything you write in the message field

Only your name, email, phone, and the property address are required. Everything else is optional, and leaving it blank does not affect the response you get.

When you submit a form, we also record:

• Which page you submitted from and which page you first landed on
• The website that referred you, if any
• Campaign tags in the link you followed (utm_source, utm_medium, utm_campaign, and similar), which tell us whether an ad, a postcard, or a search brought you here
• A one-way cryptographic hash of your IP address, never the address itself. We use it only to stop the form being abused by automated submissions. It cannot be reversed back into your IP.

• To respond to your request, which we commit to doing within 24 hours
• To prepare the rental analysis you asked for
• To keep a record of our conversations so you do not have to repeat yourself
• To understand which of our marketing efforts actually reach property owners, so we spend less on the ones that do not
• To protect the form from spam and abuse

We do not sell, rent, or trade your information. Not to data brokers, not to lead-generation networks, not to other property managers or agents. If you give us your phone number, it is so that we can call you about your property.

We do not use your information to build advertising profiles, and we do not add you to marketing lists you did not ask to join.

We use a small number of service providers to run this site. They process information on our instructions and are not permitted to use it for their own purposes:

• Supabase, which hosts our database in the United States. Your submission is stored there.
• Vercel, which hosts and serves this website.
• Resend, which delivers the confirmation email to you and the notification email to us.
• Apple and Google push services, which deliver a new-lead alert to our own staff devices. These alerts contain your name and the property address so that we can respond quickly.

If you become a client or a tenant, the day-to-day management of your property or tenancy happens in Buildium, a separate system with its own privacy policy. This website links to Buildium but does not share your form submission with it automatically.

We may also disclose information if the law requires it, or to protect our rights, safety, or property.

This site does not use advertising cookies and does not run third-party tracking scripts.

We store campaign information in your browser's session storage so that if you arrive from an ad and then browse to another page before submitting, we still know where you came from. It is cleared when you close your browser.

Members of our staff who sign in to the internal tools receive a session cookie, which is necessary for signing in and is not used for tracking.

We keep enquiry information for as long as we may reasonably need it to serve you, and to keep records a brokerage is required to keep. If you ask us to delete your information and we are not required to retain it, we will.

• You can ask us what information we hold about you.
• You can ask us to correct anything that is wrong.
• You can ask us to delete your information, and we will unless we are required to keep it.
• You can ask us to stop contacting you at any time, and we will stop.

Information is transmitted over an encrypted connection and stored in a database that restricts access to authorized staff. Only people with an account we created can see enquiry information. No system is perfectly secure, but we do not collect payment card details or financial account numbers on this website at all, which removes the most sensitive category of data from the question entirely.

This site is intended for property owners and is not directed at children. We do not knowingly collect information from anyone under 18.

If we change how we handle information, we will update this page and the effective date at the top. Material changes will be described here rather than made quietly.
